Booking for a group is the clearest case where a search box stops being the right tool, and it is worth knowing why rather than just being told to call.
Why a group is not nine bookings
The first reason is inventory. A fare you see on a results page exists in a limited quantity at that price. When you book one seat, you take one. When you need nine on the same flight, the cheapest bucket will usually not hold nine, so the system either splits your party across fares or quietly prices all nine at the highest one it can fill. Neither is what you wanted, and neither is obvious until the total appears. A desk can see this and work it — sometimes by holding seats, sometimes by splitting the party deliberately across two flights that connect, sometimes by advising you to move a day.
The second is that groups change. Somebody's leave does not come through, a child is added, a grandparent decides at the last minute to come after all. Under individual bookings, each of those is its own change fee under its own fare rules. Handled as one file, it is usually one conversation.
Five things to have ready
Before you call, five things make the difference between a quick answer and a long one. Know your exact passenger count and the ages of anyone under twelve, because infants and children price differently and affect what the airline will hold. Know how firm the dates are, and which direction is firmer — outbound flexibility is often worth more than return flexibility, or the reverse, and it is rarely both. Know your budget as a total rather than per person, since that is how the trade-offs actually present themselves. Have the full names as they appear in the passports, not as people are known — a name correction after ticketing is a fee on most airlines and impossible on a few. And decide who is authorised to confirm, because the single most common cause of a lost group fare is a quote that expired while it went round a family WhatsApp.
Payment
Payment is worth raising early too. Groups are often paid by more than one person, and whether that can be split across cards, and how, differs by fare and by airline. Ask before you get to the end.
